Section for Organizational Administrators

Guidelines and best practices for Organization Admins. These guidelines cover settings that only Organization Admins can access. In addition, Organization Admins can also access settings available to other administrator roles, such as MPG Admins and Project Admins. Guidelines for those roles are provided in their respective sections.

Managing General Settings

The General Settings modal allows Organization Administrators to manage key details of their organization in Q360. Here you can update basic information, configure billing preferences, and control who can create Main Project Groups (MPGs). This guide explains where to find these settings and how to use them effectively.

Prerequisites:

  • The user must have Organization Admins rights in Q360.

Step-by-step instructions:

  1. Navigate to the Organization tab.
  2. Click Settings.

Tips and notes:

  • Avatar: Upload the organisation logo. Recemmended size: 400x400 pixels for clear avatar.
  • Billing information: Enter the default billing information for use to prefill the billing information for each subscription. This information can be customized for each subscription.
  • MPG creation: Controls who can create Main Project Groups (MPGs):
    • Organization Admins (Recommended): Provides better control over the project portfolio.
    • Anyone: Allows more flexibility within the organization.

Managing Organizational settings

Projects management

Q360 gives Organization Administrators full visibility and control over all projects their organization is involved in. From this section, you can quickly access active projects, browse the complete project portfolio, and manage them efficiently. Projects are organized by their Main Project Group (MPG), making it easier to navigate and maintain a clear structure. This guide explains where to find project information and how to work with it effectively.

Prerequisites:

  • The user must have Organization Admins rights in Q360 to be able to manage all projects belonging to the organization.
  • Users that have MPG-Admins or Project-Admins rights in Q360, can manage the projects they have access to.

Step-by-step instructions:

  1. Navigate to the Organization tab. The tab shows active projects the user is participating in.
  2. Click See more ➔ on the 'Project In Progress' bar.

Tips and notes:

  • All projects are grouped by their Main Project Group (MPG) and can be view in two views: Kanban and List View. Both display the same projects, but organized differently.

Navigating to all project

User management

User Management in Q360 allows Organization Administrators to maintain control over who has active access and what permissions they hold. From this section, you can view all members of your organization, adjust their roles, and mark accounts as inactive. Proper user management ensures security, compliance, and smooth collaboration across projects. This guide explains where to find user settings and how to manage them effectively.

Prerequisites:

  • The user must have Organization Admins rights in Q360 to be able to manage user settings.

Step-by-step instructions:

  1. Navigate to the Organization tab.
  2. In the Members section, click See All ➔.

Tips and notes:

Use the three dot menu behind each user to access editing options, there you can change admin rights or inactivate a user.

  • When a user is marked as Inactive, following will happen:
    • The user is removed from all project positions.
    • The user loses Admin privileges if they had them.
    • The user will not appear in the available users list.
    • The user becomes active again upon their next login.

Contacts management

Kontaktadministrasjon i Q360 lar Organisasjonsadministratorer vedlikeholde en oppdatert liste over nøkkelkontakter i organisasjonen. Denne funksjonen sikrer at riktige personer er lett tilgjengelige for kommunikasjon og koordinering.

Prerequisites:

  • The user must have Organization Admins rights in Q360 to be able to manage contacts.

How to add user to the Contact list:

  1. Navigate to the Organization tab.
  2. Click Add + on the 'Contact' bar.
  3. Select Contact from the user list.
  4. Select the section the user should be listed up in, or create a new one.
  5. Click Save; the user is now added to the contact list.

How to remove user from the Contact list:

  1. Navigate to the Organization tab.
  2. Click the (down arrow) behind the username.
  3. Click 🗑 Remove contact below the username.

Tips and notes:

  • All Organization Admins ar listed as a contact an cannot be removed.

Create a Main Project Group

Q360

Prerequisites:

  • Oraganization Admin can controle who can create Main Project Group in general setting. Following options are the options:
    • Organization Admins (Recommended): The user must have Organization Admins rights in Q360 to be able to create new Main Project Group.
    • Anyone: All members of Q360 are able to create new Main Project Group.

Step-by-step instructions:

  1. Open the Project selection list by clicking the '∨' (down arrow) on the top menu bar.
  2. Click New Main Project Group.
  3. Enter the Main Project Group name.
  4. The system will suggest a short name, but you can adjust it if needed.
  5. Click Create.

Tips and notes:

A Main Project Group (MPG) can be created from the Project selection list. The list can be accessed from two locations on the top bar: via the '+' icon or the '▽' icon.

Each Main Project Group has two names:

  • Long name: Used as a descriptive label together with the Project name, e.g., E10 - Evenes Airport for European road E10 near Evenes Airport. Note: The long name can be changed later if needed.
  • Short name: Used to create a unique label together with the Project name for identifying work items, e.g., E10-EVEN for European road E10 near Evenes Airport. Note: The short name cannot be changed later.
