Section for Main Project Group Administrators

Guidelines and best practices for MPG Admins. These guidelines focus on settings specific to Main Project Groups. Note that MPG Admins also have access to certain settings shared with other roles, such as Project Admins and Organization Admins. Guidelines for those roles are provided in their respective sections.

Access MPG settings

Every project in Q360 belongs to a portfolio called a Main Project Group (MPG). MPG settings allow administrators to manage group-level configurations and permissions.

Prerequisites:

  • The user must have either Organization Admins or MPG Admins rights in Q360 to be able to access MPG settings.

To assess MPG setting from side menu:

  1. Navigate to the Project you want to administrate.
  2. Click Settings on the side menu.
  3. Click Main project group settings.

To assess MPG setting from Project selection list:

  1. Click the '∨' (down arrow) on the top menu bar.
  2. Click the settings wheel ⚙ behind the MPG name.

To assess MPG setting from Organization page:

  1. Click the Organisation tab on the top menu bar.
  2. If you PMG is not listed, click See more ➔ on the 'Project In Progress' bar. This will take you to the list of all project you have access to.
  3. Click the settings wheel ⚙ behind the MPG name.

Tips and notes:

The settings wheel icon will appear wherever you have access to MPG settings.

MPG ownership

Main Project Group (MPG) ownership in Q360 defines who has administrative control over a project portfolio.

Prerequisites:

  • The user must have either Organization Admins or MPG Admins rights in Q360 to be able to manage MPG ownership.

Step-by-step instructions:

  1. Open PGM settings
  2. Make sure that Main project group ownership is selected.
  3. For adding an MPG Admin from your organization:
    1. Click Add a main project group admin.
    2. Start typing the username.
    3. Select the user.
    4. Click Add.
  4. For innviting a collaborating organization:
    1. Click Enter an email og search for users.
    2. Type the user email.
    3. Select the user if listed.
    4. Click Send an invitation button.

Tips and notes:

  • A Main Project Group (MPG) can have two organizations sharing the ownership. As an MPG Admin, you can grant MPG Admin rights to other members within your organization. You can also invite members from another organization to participate in the project as an MPG Admin.:
    1. The owner, who is always the client.
    2. The co-owner.
    This setup is useful when a collaborating partner is managing the project on behalf of the client.
  • As an owner you can invite co-owner to collaborate in this Main Project Group.
  • As a co-owner you can invite an organization to become an owner of this Main Project Group.
  • If the email is registered in our system write three or more letters and then the @ sign. A list will be populated with all matching emails. This will increase the accuracy of the invitation.
  • Both organizations have equal rights to administer project settings. However, the client can remove the co-owner, while the co-owner can never remove the client.

Managing MPG Admin rights

Subscription ownership

Subscription ownership in Q360 determines which organization is responsible for managing the subscription for selected project. This feature is useful when the client is not handling payment, such as in cases where a partner organization assumes financial responsibility due to contractual agreements.
As an MPG Admin, you can transfer subscription ownership to another organization participating in the project. The organization designated as the Subscription Owner will have exclusive access to subscription settings.

Prerequisites:

  • The user must have either Organization Admins or MPG Admins rights in Q360 to change subscription ownership.

Step-by-step instructions:

  1. Open PGM settings
  2. Click the Subscription ownership.
  3. Select an Organization from the drop-down menu closed to the project name.
  4. Read the warnings for understanding the effect of the change.
  5. Click the Confirm changes.

Tips and notes:

  • As an MPG Admin, you can select another organization participating in a project to manage the subscription. This is useful when the client is not responsible for payment, for example, due to contractual obligations.
  • The organization selected as the Subscription Owner is the only organization with access to subscription settings. The following roles within that organization have access:
    • Organization Admin
    • MPG Admin
    • Project Admin

Managing subscription ownership

Create a project

Creating a project in Q360 allows organizations to structure and manage work within a defined Main Project Group (MPG). Projects serve as the foundation for organizing tasks, resources, and reporting, ensuring clarity and accountability across teams.
As an Organization Admin or MPG Admin, you have the ability to create new projects within the designated MPG. Each project is identified by both a long name and a short name, which help maintain consistency and traceability in larger portfolios.
This feature is essential for initiating work streams, assigning responsibilities, and enabling collaboration between participating organizations. Proper project setup ensures accurate tracking, streamlined communication, and alignment with contractual or operational requirements.

Prerequisites:

  • The user must have either Organization Admins or MPG Admins rights in Q360 to be able to create a project.

Step-by-step instructions:

  1. Open the Project selection list by clicking the '∨' (down arrow) on the top menu bar.
  2. Select the Main Project Group you want to create the project within.
  3. Click the New project button.
  4. Write the Project name.
  5. The system will suggest a short name for the project, but you can adjust it if needed.
  6. Click the Create button.

Tips and notes:

  • Each project can be recognized by two names:
    1. Long name: Used as a descriptive label together with the Main Project Group name, e.g., E10 - Evenes airport for Europe-road E10 near Evenes airport. Note: The long name can be changed later if needed.
    2. Short name: Used to create a unique label together with the MPG short name for identifying work items, e.g., E10-EVEN for Europe-road E10 near Evenes airport. Note: The short name cannot be changed later.
  • If the client (MPG Owner's organization) is missing, the MPG co-owner can create only one project in the portfolio.
